Who is responsible

Splash Designs Ltd., trading as Splash, Co. Kerry, Ireland, is the data controller for the information we hold about you and your salon. For your clients’ information, such as bookings and your client list, your salon is the controller and Splash is your processor, acting on your instructions. What we collect about you

• Your name, salon name, address, mobile number and email.
• Billing details, handled by our payment provider. We never see your full card number.
• The messages, voice notes and photos you send HeyPostie, and the changes it makes.
• The content of your website and of the accounts you connect, such as Google, Instagram and Facebook.
• Basic technical information, such as when HeyPostie was last used, so we can keep the service running.

Why we use it

To build and run your website and HeyPostie, which is the contract between us. To take payment and keep the records Irish tax law requires. To send you service messages, such as a preview of a change or a weekly check-in. To improve HeyPostie by looking at how it is used. And to tell you about new Splash services, which you can opt out of at any time.

WhatsApp and AI

Your messages to HeyPostie travel through Meta’s WhatsApp Business Platform, which has its own privacy policy. To understand what you have asked for, we use AI services to transcribe voice notes and draft changes. We send them only what is needed to do the job, and we use providers that do not keep your content to train their models.

The AI drafts; you decide. Nothing is published until you reply YES.

Your clients’ information

When your salon uses online booking, reminders, review requests or campaigns, we process your clients’ names, mobile numbers, emails and booking details on your behalf and on your instructions. Clients sign in with their mobile number and a one-time code, so there are no passwords to look after.

Reminders go by WhatsApp only when a client has ticked the box to receive them; otherwise they go by text. We never use your client list for our own marketing, and we never share it with other salons.

Who we share it with

Only the companies we need to run the service: Meta, for WhatsApp; our hosting and backup providers; the .ie domain registry; our payment provider; the AI services described above; and Google, Instagram and Facebook when you connect them. Each one is bound by a contract that limits what it can do with your information. We do not sell personal information to anyone.

Where it is kept

We keep your information on servers in the EU wherever we can. Where a provider is based outside the EU, we rely on the European Commission’s standard contractual clauses or an adequacy decision to protect it.

How long we keep it

• Your account information for as long as you are a customer.
• Billing records for six years after that, because Irish tax law requires it.
• Your conversations with HeyPostie while you are a customer, so you can see what changed and when. We delete them within 90 days of your leaving.
• Your clients’ information for as long as you tell us to. We delete it when you leave or when you ask.

Your rights

You can ask for a copy of your information, have it corrected or deleted, ask us to limit how we use it, object to our using it, or ask for it in a form you can take elsewhere. Email go@splash.ie and we will reply within a month.

If you are not happy with how we handle your information, you can complain to the Data Protection Commission at dataprotection.ie.

Keeping it safe

Your website has no admin login, plugins or passwords for anyone to attack. HeyPostie accepts instructions only from mobile numbers you have approved, and shows you every change before it goes live. Information is encrypted on its way to and from our servers, and we back up your website every day.

Changes to this policy

If we make a significant change, we will tell you by WhatsApp or email before it takes effect.
